HDI PAR Privacy Policy

Effective date: October 27, 2026

This Privacy Policy explains how HD Intelligence, LLC ("HDI," "we," "us") collects, uses and shares information through the HDI PAR mobile app for iPhone and Android (the "App").

HDI PAR is a reporting tool for athletic staff at schools and conferences that work with HDI. Authorized staff, such as athletic trainers, sign in and submit player availability reports: whether each player on their team is available, questionable or out for an upcoming game. The App is not available to the general public. Accounts are created by HDI for staff of participating schools and conferences, and you cannot sign up through the App.

This policy covers the App. HDI's websites and other services may have their own policies.

Information we collect

Account information. HDI creates your account and stores your first and last name, work email address, school or conference, team and role. When you sign in we record the time of your sign-in. Sign-in is handled by our authentication provider, Descope, which stores your email address, an encrypted (hashed) password and, if you verify a device with an emailed code, a record that the device is trusted.

Player availability reports. When you submit a report, we store for each player on your team: the player's name, jersey number and position (taken from the team roster), the availability status you choose (for example Available, Probable, Questionable, Doubtful or Out), the game and report it applies to, and the time of submission. Statuses are chosen from a fixed list. The App does not collect free-text medical notes, diagnoses or details of injuries.

Activity records. We keep a record of actions taken in our systems, such as signing in to the input form and submitting a report, together with your user account, the team, the report and the time. We use these records to support schools and conferences and to investigate problems.

Technical information. Our servers record basic request information (such as the address requested, the response and its timing) to keep the service running. Our authentication provider records sign-in events, including IP address, browser or device type and operating system, for security. When the App checks for updates, our update provider (Expo) receives basic device and app version information.

Information stored on your device. The App stores your sign-in tokens in your device's secure storage (Keychain on iPhone, Keystore on Android) so you stay signed in. They are deleted when you sign out.

What we do not collect. The App does not request access to your location, camera, photos, contacts or microphone, and does not include advertising, analytics or tracking tools.

How we use information

We use the information above to:
‍
- sign you in and keep your account secure;
- show you your team's roster and reporting schedule, and accept your reports;
- publish availability reports for your conference (see below);
- send confirmation emails when a report is submitted, and reminders about reporting deadlines;
- review reports for unusual changes, so HDI staff can catch possible entry mistakes;
- provide support to schools and conferences, and investigate and fix problems.

We do not sell personal information, use it for advertising, or use it to build profiles of you.
‍
‍

How information is shared

Published availability reports are public. The purpose of the App is to produce availability reports that conferences publish. After a report's scheduled publish time, it appears on HDI's report pages and on pages that conferences display on their own websites. Anyone can view these pages without signing in. A published report shows each listed player's name, jersey number, position and availability status. A season archive of published reports is also publicly available for players who were listed with a status other than Available. Published reports do not show who submitted them.

Your school and conference. Report confirmation emails, which list players by status and name the school's report, go to the reporting staff at your school, administrators at your conference and HDI staff. Conference administrators can also see reports and submission activity for their conference.

HDI staff. Authorized HDI staff can see reports, accounts and activity records in order to run and support the service.

Service providers. We use the following companies to operate the App. They process information only on our behalf:

- Descope: sign-in and account security
- Amazon Web Services: database hosting (United States)
- DigitalOcean: application hosting and file storage (United States)
- Google (Gmail): sending report and reminder emails
- Expo: delivering app updates
- Apple and Google: distributing the App through their app stores

Legal reasons. We may disclose information if required by law, or to protect the rights, safety or security of HDI, our users or others.

‍

How long we keep information

We keep account information while your account is active. Submitted reports and activity records are kept as part of each conference's reporting history, including the public season archive, for as long as HDI provides the service to that conference. Sign-in security logs held by our authentication provider are kept for a limited period, currently about three weeks.

‍

How we protect information

The App communicates with our servers over encrypted connections, sign-in tokens are kept in your device's secure storage, and access to reports and accounts is limited by role. No method of transmission or storage is completely secure, but we work to protect the information we hold.

‍

Your choices and account deletion

You can sign out at any time, which removes your sign-in tokens from your device. To request a copy of your information, correct it, or ask us to delete your account, email info@hdintelligence.com from the address on your account. When you ask us to delete your account, we deactivate it so it can no longer be used to sign in, and remove your personal account details on request. Reports you submitted remain part of your conference's reporting history.

If you are a player and have a question about your information in a published report, please contact your school's athletic department, which provides that information, or contact us at the address below.

‍

Children

The App is intended for adult athletic staff and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the App.

‍

Changes to this policy

We may update this policy from time to time. We will change the effective date above, and for significant changes we will notify users through the App or by email.
